Complete documentation over the entire life cycle of a rail vehicle

In order to ensure safety in railroad operations, events concerning the rail vehicle have to be documented and analyzed continuously. This obligation is also related to a high documentation effort.
Technical documentation, maintenance specifications, proof of maintenance performance, usage restrictions, but also the condition of the vehicle are only some of the information that needs to be maintained at vehicle and component level. In order to accomplish this task and to keep it efficient, it is recommended to store all information about the rail vehicle and its components in a central filing system and all this in digital form. This provides the user with the following advantages:
Efficient document organization and –management
A digital, centralized filing system offers the particular advantage that all information is visible at a glance without having to search through different systems. A uniform data structure in the system considerably simplifies the organization and management of documentation and makes the entire process more efficient for everyone involved.

Users can access the stored information from any location. This does not even require a stationary workstation, because the data can also be accessed from a mobile device. The big advantage resulting from this is that one can work with the data independent of location and time.

With the right interfaces, this form of document storage gives you the opportunity to import data directly from other systems. Consequently, the documentation effort is reduced. If the right systems are used, there is an option for setting deadlines and reminders. The risk of missing important deadlines is reduced with this measure.

Role-based access authorizations ensure greater security. This means that individual users only have access to the data they need for their own work.

Because the information is located in a central storage system, access and authorizations can be granted to different people. Everyone who works with this data always has the latest information in hand.
Improved continuity across all information
If several people work with the existing data and are authorized to enter information into the system themselves, a prefabricated structure of the data storage allows a uniform appearance. The data of each vehicle and its components are thus structured in the same way, so that each user can find his way around the data pool.
In order to carry out optimal resource planning, important information is first needed as a basis for decision-making. The asset biography provides the information basis for this.
The asset biography is not the same as a maintenance history, as it provides far more information than just the maintenance file. One could describe the asset biography with the term “life cycle file+”. Questions such as “When is the next workshop appointment neccessary? For which route is the vehicle best suited? When does the warranty for the vehicle expire? Which vehicles are generally ready for use? Which component is installed in which vehicle?, can be answered using the information provided by the asset biography. The asset biography gives you a 360° view of the vehicle or individual components, 365 days a year. Technical, logistical and commercial parameters of the vehicle are made available to support you in your daily planning.
